To perfect the art of communication?

At the first glance, the question that came to my mind was really whether I should discuss about verbal or non verbal communication. Having worked through countless part time jobs, it occurred to me almost instantly to be a good co-worker, regardless of the role you play as an employer or an employee, good communication is the key to make things work. We humans are animals that function optimal as a team, not as a lone soloist; so if so we were to apply the former setting to everyday life, interacting with people is perhaps a social obligation, yet it is undeniably the driving force that allows us to accomplish tasks and assignments the prim and proper way.

It is not hard to imagine the day where some misunderstandings happened just because of a silly breakdown in communication, allegations and untrue rumors could so kill your reputation! It could be as simple as an innocent gesture, a harmless joke or even a comment (with the wrong choice of word sadly) which the listening party chose to take it a little too harshly. Congratulations and look what you have found- a new enemy!

The simplest form of communication is a 2 way process, (yet ironically) such a complex, unpredictable and exciting; in the sense for we are acquiring and transmitting in information and the risk of opportunity for error and/or failure being endless. Good listening skills will of course facilitate the course of communication, but this will branch out to another completely different realm of “art”. Is written correspondence better, or would a personal meeting or a telephone call be more sincere? Have you used spell check to eliminate all grammar and spelling errors and proofread them? Forwarding a letter full of errors will make you appear to be sloppy and unprofessional. In a nutshell, how well we communicate has a direct implications on how “successful” you are in life, avoid and resolving problems and conflicts. This skill is undeniably crucial, and of course worth some time of yours to dwell on how you can go about perfecting it.

EDITED:

I thought I should at least describe how miscommunication occurred in my workplace before (so as not to disappoint my fellow friends!) I guess the most common misunderstanding caused was between my boss and me; where instructions was not passed down properly and thus delayed the progress of work.

Just 2 years ago before I started university I was helping out in this civil engineering company and was the assistant for the boss, a professional engineer. I look up to him with all my respect, not only because he is close to 60 years old, but also the amazing tactful way in which he handles work and that won him his fan. Occasionally when work starts to pile up, he would get a little “cranky” and frustrated; despite the fact that I do try very hard to assist him (which was my job of course), his method of delivering messages and passing instructions down wasn’t clear sometimes and if I too absent-mindedly didn’t pay full attention, the aftermath will be comparably catastrophic.

For example if he had an appointment and needed some specific information, he would request for it but when I couldn’t find them, it would probably be because he had used them last time and forgot to put them back from where he took. Or he would want me to dial a cab for him and he meant 1 hour later but I didn’t hear the latter, and here we got a cab which came 1 hour earlier.

Frankly speaking, I believe in any conflict there is no innocent party, so in any situation where I see a potential argument happening, I would rather play safe to apologize for my mistake first. It doesn’t matter if the other party does admit his felony or not; I would be the “winner” at the end of the day when I bring a story and lesson learn home.

  1. aloha sw,
great choice of words and a great piece of article i must say. I could'nt agree more about the how good communication, to you, is the "key to make things work'.

However, honestly it didn't struck me until just now, that we have been focusing and pondering how is it possible to achieve excellent communication skills. But have it ever cross your mind how can we approach this issue if one doesn't even open their mouth and talk in the first place?

Get back to me about it alright! (and do let me know if I'm not making sense here!)

  2. hey shihui,
well you definately make sense here, if in the 1st place we dont even open our mouth to speak up, there wont even be a chance for miscommunication to take place.

Ironically there is a saying "silence is golden", but certainly not applicable under every circumstance. I must admit how impressed I'm by how our lecturers sometimes could ask a question and gets zero response; i doubt if i were the lecturer i would be able to handle that awkwardness. I am not saying I'm one "model" student here, but to an extent yes, this is an area we could learn and improve on- being more outspoken and taking initiative. Are we side-tracking a little here? Haha.

  3. When I read this post I had two initial reactions. For one, I thought that you have understood well the basic artifice in communication: because we are social animals, communication is vital as we work to maintain our myriad social contracts. Secondly, I thought how wonderful it was as you led me through the caverns of your mind.

Upon reflection though, I had other thoughts: This post is very general, actually. What is effective communication for you, Shi Wei?
In other words, can you see your own successes and failures through the prism of effective (or ineffective) communication?

I did notice a few linguistic stumbling blocks. For instance, in your writing, you mix impersonal pronouns. See this sentence: " ...how well WE communicate has a direct implications on how “successful” YOU are in life, avoid and resolving problems and conflicts." I'd aim for more consistent usage if I were you.

This is an interesting and insightful post though. I look forward to reading more of your ideas!

  5. Hi Shi Wei,
I find this post quite interesting. You have mentioned the various importances of a good communication and the possible disasters that might/usually happen when communication is not that effective. As communication is needed in many aspects of our lives, I can't help but to agree with you that indeed our communication with one another reflects how successful we are in our lives.

Well, just an opinion from me that I thought may make your post even more interesting.Erm.. maybe you can write some examples on how can you apply various communication skills in your daily life. So that's all from me and I wish to read more of your posts in the future. Happy Chinese New Year!!

  6. I would love to know more about your working experiences:) Because it was my various part-time job experiences that made me realise the full importance of effective communication. In fact, I have lots of stories to tell:)

Another point - I don't think having miscommunication is entirely a bad thing. We often learn from our mistakes, and through these mistakes, we have a further insight of effective communication and how it reinforces the basic foundation of relationships.

  7. Good day Shi Wei,
It is a very interesting post. I love the words you used in the post and it makes the reading very smooth i must say. I am strongly agree with you that communication is indeed a 2 way pocess as there is no point if the listener is not paying attention or the speaker does not clear what he/she is trying to tell. And you do also mention the consequences of poor communication which are very good examples.Looking forward to read your next post

  8. Yays thnx guys for taking the time to tell me how you felt about my writing!

Mr Brad, yes i do notice (and perhaps a little ashamed and embarrassed!) those linguistic glitches you mentioned now; i promise i will work on them. Perhaps I adhered too closely to the word limit suggestion as well, thats why i dint include details or examples.

Hello sauyeen, I hoped you have had a great cny back at home too! Yes I believe i did made an erroneous decision not to put down examples. Shall totally work on it thanks for your comment!

Yuka, woah i like the way you mentioned how miscommunication may not entirely be a bad thing; which i agree totally. I believe many of us will have at least a first hand experience at how something conventionally labelled as "catastrophic mistake" which in the ending turned out to be just fine (or even wonderful!). Yes examples, after the previous comments by our friends i realised i bored my readers due to the absent of EXAMPLES!! ok, maybe i should really consider doing another post purely based on good+bad concequences of miscommunication at work & life.

CHER! Your too kind, your compliments are making me blush! Thnx for taking time to read my blabbering!

  9. Hi Shi Wei,

This is actually a good post (don't worry. it is not as boring as you think) where I think you caught the main idea of communication which is a two way process. A one way communication just cannot work as Cher mentioned and someone might even be better off speaking to a wall in a one way communication. I also agree that knowing how to communicate in different scenarios as mentioned in your post is also very important. Sending an informal text message to your superiors to apply for vacation is just plain career suicide right? :)
As mentioned by the others above, with a little more examples and a more personal touch (including pictures as you mentioned in your comment in my blog and personal experiences), this would be a very very good post. Can't wait for the next post and see you in class tomorrow :)
